Asha-Athens meeting minutes 4-08-08 Attendees: Aditya, Foram, Puja, Kapil, Yash, Devaki, Prachi, Shruti TICKETS Morton Theatre is the only place selling tickets. We are to give them the tickets we printed out (are going to print some more). Prachi will email a final confirmation on the ticketing system tomorrow once she gets to talk to Erwin (MT). As for now: Student ticket price: $10 (Show student ID to MT and purchase the ticket). Can sit anywhere they want (any zone). Non-student tickets: $10 - balcony $20 - 20dollar rows $30 - front/30dollar rows Can pay in cash or check, and credit/debit with a $2.50 extra charge. We should still try to personally "sell" tickets, as in, get people to buy them. If they don't want to go to MT and buy tix early, they can buy them on the day of the event, or volunteers can buy tickets on their behalf from their own pocket (non-student tickets) and then sell it to them. MT will accumulate all the money we get from ticket sales and give it to ISL, which will then transfer the money to Asha-Athens account. BUDGET We have $200 in our UGA account. Things to be used on - $21 - banner space ~$100 brochure pizza for performers (rehearsal food) Street painting colors banner material Red & Black ad - Prachi to contact Fliers *listed in order of priority* BROCHURE Everyone who has any information that needs to go into the brochure, basically any ads from sponsorships and names of all donors, please send it to Kapil at the earliest. Brochure needs to be ready by Thursday evening. Printing on Friday. STREET PAINTING Tonight 12:30 am. Volunteers: Puja, Shruti, Foram, Shailesh, Kapil, Adi, Prachi (maybe), anyone else? Colors: Foram and Puja are picking up street painting colors (tempera paint) and brushes from Office Max and some from Krishna. Foram and Puja are also buying materials for the banner (stage). ON APRIL 12th - FOOD - Adi will pick up food from Atlanta. Abhyuday, what time in the morning will the food be ready? Adi should be back around 3ish. PERFORMANCES - Devaki, Sara, and Prachi inform performers about time change. The show will now start at 5pm (instead of 4:30...due to time overlap with Street Fest) Rehearsal Schedule: Chinese - 9:30am Irish - 10am Bharatnatyam - 10:30 - 12pm Waltz - 12pm 1/2 hr gap..if someone wants, they can rehearse Tango - 1pm Kuchipudi - 1:30pm - whenever Rehearsal should be done tentatively by 3pm We need to inform the participants about show time change and their stage rehearsal schedule. Ask them to come 15 mins before their rehearsal slot. Sara, can you get those to Foram and the certificate format for her to print them out on her lab computer? USHERS We have only one community volunteer for ushers as of yet. Rest is just us. We need to recruit more ushers! :) Ask your friends if they'd want to volunteer on the day of the event. They just have to be there an hour early (4pm). Note: volunteers also buys tickets, just because it's a fundraising event and it just makes sense. Foram - ask Neeraj Abhyuday - Can you print out 80 flyers (I don't know if it's too big of a number wrt how many you can print at ur lab). Foram will pick them up from you, if possible, early in the day. She doesn't have class until 11am. So before that would be good if you can so that she and Puja can go around campus and put them up before their classes. Another thing to inform the performers about is they need to send us their CDs (and preferably have a back up on laptop or something with them when they come on Saturday) soon (we had decided by wednesday, but that's tomorrow.
