Meeting Minutes 10/05/08

Attendees: Bharath, Anup, Arvind, Sais, Mohit, Jith, Sharanya, Bhaskar, Murali, Ganesh, Savitha, Gaurav, Karthik

1. T-shirt updates - Ganesh
    - Team Asha plans to give out a cotton-tshirt to all the runners. It might be a generic Asha tshirt
    - Do we need to order cotton t-shirts for the chapter?
    - Murali suggested Austin Screen Printers
    - It was decided that we will be going for a generic Asha t-shirt which will be used by the chapter as well as the Team Asha program
    - It was suggested that we add some sort of message on the back of the tshirt about Asha

2. Discussion on matching ticket sales
    Q. Can a donor match the amount towards buying tickets through his/her company matching program?
    - We cannot do that since we have publicized it as a ticketed event. Since there is an exchange of goods, we cannot sign a donation form.

3. Discussion on supporting Guria through Show of Hope
    - Guria is an Asha project currently supported by Asha-Tempe and Berkeley
    - One of the teachers at a local music school, is a long time supporter of this project. She has 5 registrations for the Show of Hope event ($50) and she is     willing to contribute another $50. She would like the whole amount to go towards Guria/
    - However, the ticket sales are needed to cover the overheads associated with the event expenses. The event is meant to be a fundraiser for the Austin chapter. The additional $50 can be directly contributed by her to the project through Tempe.
    - If the project has to be supported by the chapter, it needs to go through the regular approval process.
    - The chapter decided that  it would be better to have her make the donation directly

Action Item:
    Gaurav to contact Amy with general guidelines on how to present the project to the Austin chapter and get it approved as a formal project supported by the     chapter.

4. Project publicity at Show of Hope - Savitha
    - We need a video to show to the audience. The old video is uploaded on datastore. The slides may also be uploaded
    - We also need a presentation about Asha during the event.
    - Ankur wanted to present a video about teaching tools he has developed.
    - We need another project video? 
    - Asha Austin video - Gaurav to work on it.
    - Need project posters for newer projects - Asha Deepa, Gnanodaya, RMKM, Humana
    - Need someone to explain the projects to the interested audience. Volunteers - Gaurav, Murali, Bharath

Action Item:
    - Gaurav will work with Savitha in getting the videos ready for the Show
    - Project stewards to check their project posters and create one if necessary

5. Volunteering for the Show of Hope (Prelims - OCT 11, Finals - OCT 25)  - Mohit
    - Since the prelims are at UT, help will be needed especially with respect to parking
    - Use the garage at San Jacinto - maybe $10 for three hours (need to confirm)
    - There is a huge lot at Red River and Dean Keeton (Thomspon Conference Center)
