Minutes for Meeting of Feb 22, 2002.

ATTENDEES
Jerry(Chair), Radha, Shanmugham, Anand, Sucharita, Vikas, Radhika, Sujata, Neelakshi, Prashant, Vanita.

CHANGE FOR CHANGE
Anand Rao will make a powerpoint presentation before the movie tonight (Friday, Feb. 22nd). We will make an announcement regarding Basant Mela and audition on Saturday.

BSANT MELA
Venue & Date:The venue and date for Basant Mela have been decided-Alibrandi Catholic Center (ACC) on April 12th. It will be a single event combining Mela & performances starting at 4:00 P.M. Performances will start later in the evening, around 6:30.
The rent for the place will be $125 for the hall + $75 for the kitchen.
Maximum capacity is 300. We will sell 350 tickets max.
*For those who voted for Grant Auditorium, it has been cancelled on two grounds:It does not belong to the Law school. Therefore, we'll need to take permission elsewhere. Second, law school has another event on the same day.
Stalls:We have decided on the following stalls:
Henna - 1 Stall, 2-3 volunteers. $ 5 per palm sized imprint. Responsibility: Vanita, Sejal,Veronica
Name writing - 1 Stall, 2-3 volunteers. $ 2 per person with names in 5 languages. This will be done on an attractive Bookmark
Rangoli - 1 Stall, 2 volunteers. $ 1 for one trial. Responsibility: Sujatha, Anand. Prashant suggested that this should be free.
Food - 3 Stalls. Responsibility: Nataraj, Sally. Do we need to replace Natraj?
Juke box - $ 1 for 1 song. Prashant has suggested to exclude this in order to maintain the mela ambience.
Games - 3 Stalls. Pradeep will enlighten us
Asha stall- 1 Stall. Responsibility: Radha
Handicraft stall- 3 Stalls. Responsibility: Vikas
Ethnic Cotume Trial: Dressing up people in Saris, Kurta-pajamas etc.
Kites(Depending on the weather)

BASANT MELA OUTSTANDING ISSUES
Renting music system, projector for the Mela.
Tickets: Can we (should we?) sell the tickets through the box office. It will cost us $100 for 250 tickets.
Insurance for ACC?
Sponsors:Need to explore the option of advertisements in Mela brochure to get sponsor fees.
Donations/Volunteers: Radha and Sucharita will make a presentation at ICRCC asking for their monetary + volunteer help. Radha suggested that we can ask members of the ICRCC to cook and apply Mehendi for the stalls in Mela.
Budget: By next Wednesday, Vikas will have the budget for the event. Once the budget is set, we'll try out other avenues , such as, Multicultural Events, GSO Special Events, South Asia Center for money.
Games of Chance: Neelakshi will contact Pradeep for games. Neelakshi suggested that in these games, instead of other prizes, we can give coupons to be used for other stalls in the Mela.
Food: Should we cook ourselves or sell stall space to outside vendors?
Handicrafts: Prashant is in touch with Smita Rane for handicrafts. Needs to be decided if we want to charge her a fixed sum for the space or get a cut out of her profits.

GSO Budget ($740): This budget will be used for things other than the fundraiser. It can be used for standard ASHA banner, posters, flyers to be used throughout the year.

PR/Marketing: Schedule information tables in the Atrium.

I & I: Sucharita could not get a list of physicians/doctors.Radha and Sucharita will arrange to make a formal presentation to ICRCC to get them involved in ASHA activites.

Next Meeting: The next ASHA-core meetitng will be held on Mar. 1, 2002 in Room 231 or 233 Schine Center. Anyone who cannot make it to the next Asha meeting will send an email to Asha-Core.
Agenda: As of now, there are two items on the agenda:
Task Force Reports: The following Task force coordinators and members will report to ASHA about their respective strategies for the semester:
